These days it can be a challenge to keep on top of the sheer volume of emails we receive of all different kinds on a day-to-day basis. Thankfully, has a simple yet powerful solution to help you sort emails automatically and keep your inbox nice and tidy – email filter rules. With this feature, you can select filters to categorize your messages, or even create your own!

The value of email filter rules in a nutshell

Simply put, this feature allows you to create rules to filter your emails, both for incoming messages and emails you’ve already received. These rules execute tasks to sort your emails automatically in whatever way you see fit: this helps you categorize all of your messages appropriately and in a manner that serves your specific needs. Similarly, you can define spam filter rules to keep that pesky junk mail away from the correspondence that really matters to you. With’s handy filter rules, you can take control of your inbox, ensuring it stays clean, streamlined, and well organized.

You can define an email filter rule to automatically move certain kinds of messages into a particular folder, or even delete them entirely should you wish. For example, for your work email address, you can ensure all emails you receive about a certain project are categorized in the relevant inbox folder. It’s as easy as creating a filter rule to move any message that contains the name of the project in the subject line to the correct folder. This way, you’ll spend far less time manually cleaning up your email inbox and more time being truly productive.

Choose between ready-made and custom filter rules

With the email filter rules in your account, you have two options: select a ‘quick filter’ or create your own custom one. Quick filters are pre-made filters that are most frequently used, and cover many common purposes you may need. These include moving emails received from a specific address, moving emails with a particular subject line, and forwarding emails to another account. This allows you to quickly and easily set rules without having to adjust any parameters.

Custom email filter rules, on the other hand, are for those times when you need something a little more personalized. When creating your own filter rule, you can get more in-depth with how you want the filter to behave, and have a greater choice of options. 

How to select, create and adjust filter rules

Between the options of quick filters and custom filter rules, you have a wide array of possibilities at your disposal. What’s more, you can activate or deactivate these rules at any time. An email filter rule is composed of two parts: conditions and tasks.

  • Condition: The criteria that must be met in order for the filter rule to be triggered. E.g. sender or recipient address, email priority, email size (and many more).
  • Task: The action to be performed on emails that meet the condition. E.g. delete, copy/move to folder, mark as read (and many more).

When creating a filter rule you can also define multiple conditions and tasks. For instance, with a single filter rule it’s possible to set a certain email address and subject line as conditions, and ‘mark as read’ and ‘move to folder’ as the tasks.

Selecting a quick filter or creating your own can be done in a few easy steps:

  • In your account, click ‘E-mail’ at the top of the screen, then navigate to ‘Settings’ and ‘Filter Rules’.
  • If you want to set a quick filter, simply select a suitable option from the ‘Frequently used Filter Rules’ section and define your desired condition (‘If…’) and task (‘Then…’) from the options available.
  • To create a custom email filter rule, select ‘Create personal Filter Rules’ instead. Here you will be able to add and subtract multiple conditions and tasks, of all kinds.
  • Click ‘Create Filter Rule’ when you’re ready, and you’re all done!
