Too many email folders just mean wasting time deciding where emails go, you forget where you saved what, and finding emails just becomes harder, not easier. So, if you’re wondering how to organize your email folders, here’s the truth: fewer folders > more folders.

A simple folder setup that works

You don’t need a complicated system to organize email folders. You just need a setup you’ll actually use.

Here’s a simple 5-folder system that works for most students:

Inbox

This is where new emails arrive, not where they stay forever. Try to keep it as clear as possible by moving emails into the right folders after reading them. This habit alone can massively improve how you manage your email inbox.

Action

This folder is for emails that need something from you, for example:
  • Replying to a professor
  • Registering for exams
  • Group project tasks

Waiting for

This is your main academic folder. Drop lecture announcements, slides, and course updates here. Instead of creating dozens of folders for email, you can rely on search to find specific messages later.

Reference

Finished but important emails go here. So, add any confirmations, receipts, or official information you might need later.

How to create email folders

Creating an email folder is quite simple, but depending on which service provider you’re using, it might look a little different.

How to create email folders in mail.com

  1. Log in to your mail.com account
  2. In the left-hand menu, click “+ New Folder”
  3. Name your folder (for example: Action, Classes, or Reference)
  4. Press Enter
Your new folder will appear in the sidebar, and you can start moving emails into it right away by dragging and dropping. How to create email folders in Gmail

Gmail calls folders labels, but they work basically the same way.
  1. Open Gmail and look at the left sidebar
  2. Scroll down and click the plus symbol (+)
  3. Enter a name for your folder (label)
  4. Click Create
You can now drag emails into the label or use the label icon at the top of an email to add it to your folder of choice.

How to create email folders in Outlook

If you’re using Outlook (web or desktop), you don’t have to wonder how to make email folders in Outlook anymore. It’s quick and easy!
  1. Open Outlook and go to your inbox
  2. Right-click on Inbox
  3. Select New folder
  4. Name your folder and press OK
